Note
In order to be a member of a Team folder, all members must have an HMS Dropbox for Business account.  Personal Dropbox accounts and business accounts issued from other institutions can not be assigned to an HMS Dropbox Team folder.





Why use a Team Folder?

An HMS Dropbox Team folder is a great way to store data that is common to a specific group of people.
 

For example, if your workgroup is working on a project with data that needs to be shared out to everyone, you could use an HMS Dropbox Team Folder to store that data, rather than sharing a folder from your own personal HMS Dropbox Folder.

 

If the project involves collaborating with people from other workgroups, they can also be a part of the HMS Dropbox Team folder.

 

Importantly, storing the data in an HMS Dropbox Team Folder means that if someone were to leave the workgroup or the project, the data would still remain in possession of the team.

 

If all the project data resides in a personal HMS Dropbox Folder that was shared out to the team, then if that person leaves, the data is at significant risk of being lost to the project team.

  • Unlike sharing a folder from an individual Dropbox folder, a Dropbox Team folder cannot be deleted by any member of the group, nor can it be unshared.Group membership is be managed by one or members of the team.
  • The Team folder will not disappear or be deleted when someone leaves the organization.
  • IMPORTANT! Anyone with Edit access to the HMS Dropbox Team Folder can add or remove data residing in the Team folder as long as they are a member of the Team.
